Privacy Statement

KONE Corporation and its employees, partners, subsidiaries, and affiliates are committed to protecting your privacy and personal data. KONE processes your personal data in accordance with international and European Data Protection Principles and applicable personal data legislation (including the European General Data Protection Regulation, as applicable).

This Privacy Statement related to parts.kone.com (“KONE Parts”) of KONE Industrial Ltd (“KONE”), a wholly-owned subsidiary of KONE Corporation, provides you with general information on the processing of your personal data by KONE and its employees, partners, and affiliates related to KONE Parts. Please read this Privacy Statement carefully prior to registering to or purchasing from KONE Parts. This Privacy Statement will explain how KONE processes the personal data we collect from you when you register to or purchase from KONE Parts.

HOW WE COLLECT YOUR DATA AND WHAT DATA WE COLLECT

Your personal data will be collected when you register to KONE Parts, send us an email, place an order for any of our products or services, and give your contact details to a KONE representative. This personal data includes, but is not limited to your name, email, phone number, shipping and invoicing address, VAT number, EORI code, invoicing details, and other necessary information needed to process your order. Certain personal data may also be collected when you use or view KONE Parts via your browser’s cookies (please see section “Marketing and Website analytics” below).

WHY AND HOW WE WILL USE YOUR DATA

The purpose of KONE processing personal data is to enable the sale of spare parts, manage deliveries, provide services and invoicing, contact customers for contract management and marketing purposes, and otherwise maintain the customer relationship. KONE may also use your personal data to handle incidents and claims as well as provide assistance as requested by you, such as informing you on your order status or special offers we think could benefit your business.

TRANSFERS OF PERSONAL DATA

In general, KONE uses personal data only for its internal business purposes and does not transfer the data to any external parties. In addition to storing your personal data in KONE Parts, KONE transfers your personal data to KONE’s internal customer relationship management (“CRM”) databases, which is used to manage KONE’s sales and marketing activities. Some of the personal data stored in KONE Parts or in CRM may be accessible and processed by KONE’s subsidiaries, subcontractors, and other service providers, to the extent needed in connection with the above said purposes. KONE ensures that such third parties are always bound by contracts, which sufficiently address data protection and confidentiality requirements.

Due to technical and practical requirements, personal data may also be processed outside the EU/EEA. KONE ensures that there is a legal basis for such transfers.

KONE may provide aggregate statistics about its customers, sales, traffic patterns, and other related KONE Parts information to reputable third parties, but these statistics will include no personal data.

THE PROCESSING OF PERSONAL DATA IS BASED ON YOUR CONSENT

The processing of personal data is based on your consent. You may at any time revoke your consent by contacting gss.globalspares@kone.com. As the processing of your personal data is necessary for us to be able to provide you with our services and products, revoking your consent may lead to a situation where we cannot provide you with some or all of the services and products. KONE Parts is technically divided into separate sections, some of which may require more personal data from you, while some may be used without processing any personal data.

HOW WE STORE YOUR DATA

Personal data will be stored as long as it is needed for the purposes it has been collected for. After that, the personal data will be effectively deleted or made anonymous.

MARKETING AND WEBSITE ANALYTICS

KONE may send you newsletters and/or marketing emails when KONE receives your personal data in connection with you registering to or purchasing from KONE Parts. To unsubscribe to this newsletter and/or marketing emails, please email gss.globalspares@kone.com with “unsubscribe” in the subject. Please note that processing the request may take 1-2 weeks.

KONE uses website analytics, to gather statistics about the users of KONE Parts with the aim to improve the contents of KONE Parts. Normally this data is anonymous, however, if you have logged into KONE Parts or accessed KONE Parts through a link in an e-mail, we may combine your personal data with analytics data about your use of KONE Parts.

COOKIES

From time to time KONE may place information on your computer to allow us to identify you and keep you signed in KONE Parts. This information is commonly known as “cookies”. Cookies give KONE information on how and when you have used KONE Parts and helps KONE to improve KONE Parts for better service.

If you wish to disable KONE from tracking your visits to KONE Parts, you can use the opt-out function of the KONE cookie setting tool or remove cookies through your browser settings. You will need to repeat this action if you visit KONE Parts using other computers and/or browsers.

CONTACTING KONE

Data subjects may at any time contact KONE and request access to their personal data. KONE will at the data subjects’ request rectify or erase any incomplete, inaccurate, or outdated personal data. Personal data requests can be sent to KONE by writing to us: gss.globalspares@kone.com.

If the personal data processing is based on consent, the data subject is entitled to withdraw the consent at any time. If the personal data processing is based on KONE’s legitimate interest, the data subject may object to such processing based on a specific individual circumstance. The data subject must identify such circumstance in the request relating to objection.

Under certain circumstances, data subjects may also object to the processing of their personal data as well request data portability. In the event the data subjects have concerns or remarks regarding KONE’s processing activities, they also have the right to lodge a complaint with the relevant supervisory authority.

KONE may refuse a request or obtain a reasonable fee for fulfilling a request if the request is manifestly unfounded or excessive or KONE has another legitimate ground for refusing the request. Such legitimate grounds could e.g. prevent KONE from deleting personal data that needs to be retained due to local legal requirements or to maintain an audit trail until the end of the local claim period. KONE may also need to retain the data to be able to fulfill contractual obligations.

Please also note, that if KONE blocks or deletes your personal data as requested, KONE may not be able to perform the services you would like to use or have previously ordered or requested or provide you the content you would like to download or receive.

KONE seeks to develop KONE Parts, its business as well as its data protection related processes and tools continuously and reserves the right to amend this Privacy Statement. KONE hopes that you review this Privacy Statement from time to time for any amendments. To the extent required by applicable privacy laws, KONE may contact you also through other interfaces or by using the collected contact information to provide information about updates that have material effects on you as a data subject.
